You can request information about the documents stored in the archive of the municipality of Hollola or the information contained in them.

The document or information you requested may have to be completely or partially kept confidential due to confidentiality regulations based on the law. If we refuse to provide the document or information you requested, we will inform you of the reason for the refusal. 

The information service is in charge and the information service secretary provides more information.

Requests for information about minutes

The minutes of the institutions are published on the Hollola municipality's website after they have been checked. The minutes can be read on the public information network for about two years, and the decisions of the office holders for more than a month from the date of publication. You can inquire about minutes and decisions of office holders, which are no longer available on the website, from the municipality's registry office, kirjaamo@hollola.fi.

    The agendas of the municipal institutions are published on the municipality's website in the public information network already before the meetings of the institutions.

    In order to implement the publicity principle, the information management unit must maintain a description of its information resources.

On the basis of "Section 42 Fees charged for issuing documents" of the administrative rule, a fixed basic fee is charged for an information request, which is scaled according to the difficulty of the request. In addition to the fixed basic fee, a per-page fee is charged for the copy and printout:

  • from the minutes
  • a per-page fee is charged for a copy or other printout
  • if retrieving the information requires special measures

The prices shown below include VAT.

Provision of usual information

Usual provision of information is considered to be:

  • providing a copy or printout of a document that is completely public or from which confidential parts can be easily removed
  • the document must also be identifiable and findable by means of the document classification and document identifier used by the authority or by means of the search functions of an electronically kept register

A fee is charged for providing standard information based on the following criteria:

  • minutes, copy or other printout, black and white €0,50 / page, color €1,00 / page
  • in a standard document or information request, no fee is charged for retrieving and providing information

No fee is charged:

  • from the minutes, with which the decision is notified to the interested party
  • the electronically stored document is sent to the interested party by e-mail
  • a public electronically stored document is sent to the information requester by e-mail
  • of a document that is given to a state authority for the purpose of carrying out the supervisory task prescribed for the authority, directed at the municipality's administration
  • of a document for which, according to the law or other regulation, redemption or payment is not required
  • a document that must be given to another authority by law
  • providing the requested document falls within the scope of the authority's obligation to advise, consult or inform
  • from the municipality's own authorities or institutions
  • of the work and service certificate, salary certificate or document requested by the municipal office holder or employee, which is needed for applying for a pension or other benefit resulting from the municipal office or employment relationship
  • when it is in the interest of the municipality in relation to the costs of collecting the fee

Providing information that requires special measures

Providing information is considered to require special measures in situations where the requested document or information cannot be identified and found using registers, classifications, identifiers or search functions. Situations where the document or information request is factually unlimited or otherwise very broad are considered disclosure situations requiring special measures.

In situations that require special measures, a fixed basic fee is charged for retrieving a document or information and changing it to the form to be given, which is scaled according to the difficulty of the above-mentioned measures as follows:

  • normal information search (working time 0,5–2 h) €25,00
  • demanding information search (working time 2–5 h) €60,00
  • very demanding search for information working time over 5 hours €100,00, maximum 1 working day and overtime €10/h

In addition to the basic fee, a per-page fee is charged for document copies, copies or other printouts, including documents converted to electronic format:

  • €0,50 black and white page
  • €1,00 colored page
  • of a document sent by post
    • actual postage costs will be charged
    • postal charges include the applicable value added tax at any given time
    • postage is not charged if no fee is charged for the document

Urgent request

If the search for information is requested as urgent, the staggered basic fee can be doubled. An urgent request is a request in which a document or information is requested to be delivered within two days of making the request.

As mentioned above, the tiered fixed fee also applies:

  • when providing information about the document orally that requires special information retrieval measures
  • the document is given to the authority to be read or copied
  • the information is sent via e-mail
  • of documents stored electronically and sent electronically to the customer, if searching for information from electronic registers requires searching for information that requires special measures
The fee charged for providing information that requires special measures will be notified to the requester of the document or information at the start of the investigation of the request, in which case an estimate of the time used for the work will also be given. However, the fee is charged according to the time spent on the completed work.
  1. Personalize your information request so that it shows as clearly as possible which document or information it concerns.
      • say, for example, the subject of the matter
      • for which period do you want information
      • which area do you want information from
      • case diary number if you have it
      • you should always state the date or title of the document if it is known
      • the person's name, social security number, real estate code or case number can also be used as search factors.
      • if your request for information concerns a public document or information, there is no need to justify the request
  2. When requesting information about a confidential document or documents that can only be disclosed under certain conditions, the person requesting the document must state the purpose of use of the information and be able to verify their identity. Additional information can also be requested from the requester of the document if it is needed to clarify the conditions for the release of the information. Requests for information regarding confidential documents are asked to be made in writing, which must include the handwritten signature of the person requesting the information.
  3. You can make a request for information by sending a free-form request by e-mail to the registry office.
  4. You can initiate your request for information also, for example, by mailing a free-form information request letter or by making a request for information on the spot at the office of the Municipal Office.
  5. If you send your information request by e-mail to the registry office, you will immediately receive an acknowledgment of receipt.
  6. We will respond to your request for information and documents as quickly as possible.
      • If it is a public document and the information request contains good initial information, we will respond within two weeks of making the request at the latest.
      • If there are a lot of requested documents or they contain confidential parts, or if the processing and resolution of the case requires special measures or a larger workload than usual, the request for information will be resolved and information about the public document will be provided within one month at the latest.
  7. The municipality can hand over the requested information either electronically or on paper, or the documents can be consulted on site.
